Thank you for your reply Mrs HB.. :)

Well, I received a call early this morning by some one from DWP in regards to my MR and they just confirmed the original decision had been upheld. However, he said that he would ask a case manager to revaluate the MR again based on all the extra information and GP's evidence which has just been recently submitted.

He confirmed that the MR decision was made without the additional evidence because from what he could make out the case manager did not have all the relevant information at the time.

I did say I knew I had a feeling that it must have been too quick and I did initially request them to not look at my MR until they had all the information in front of them. And to also take into account that it does indeed take a few days for the correspondence to travel through their internal mail systems. (A slow boat from China would be much quicker :whistle: :lol: )

So yes Mrs HB you were quite right in saying that all they do is rubber stamp the original decision.

Which brings me to my suggestion. I have just come across some info that may be beneficial and of some help to other members on here. But I wanted to ask for permission before I posted it first just in case it would not be allowed for some reason.

The info is in regards to how the DWP internal mail system works. From when the correspondence/info is posted off by the customer to when the DWP and/or a case manager actually receive it by Royal Mail. There is quite a lot that goes on in between...

This is quite an interesting read as I was really curious as to how the DWP mail systems actually work.

Ah yes, I read this one and so maybe you could somehow merge them together if possible?

The following information was provided as a result of This FOI Request to DWP :



"All Recorded Delivery & Signed for Delivery items are entered onto a manifest at point of receipt from Royal Mail. This is in addition to any other recording and the manifest will itemise the contents.

The date of receipt of all scanned mail is automatically logged when the item is scanned and this data is available to benefit processing staff.

• Arrival: Recorded and Signed For items are recorded individually. Other mail is not recorded on an individual basis.

• Opening: Mail is put through a slitting machine which also counts the envelopes.

This data is sent to the DWP Service Team on a monthly basis.

• Scanning: The date is recorded on batch headers during the batch preparation
process, along with the date and time the batch was scanned. A time stamped
response is also received to confirm the batch has successfully transferred to
indexing.

Reports on when batches are received for indexing and forwarded to the
DWP repository are received by the DWP Service Team on a daily basis.

The date & time of scanning cannot be updated once a document has been scanned.

There are additional records which show when a batch has been received by the
indexing system, when it has been indexed and when it is exported to the DWP
Repository.

• Deposited in DWP Repository: The report mentioned above also records when an
acknowledgement receipt is received to say the batch has been received in the DWP
Repository .

• Staff made aware: Reports are available which show when a task has been created.

• Upon receipt at the DWP Mail Processing Centre the trays are checked to ensure
they have been sorted correctly into the right offices.

• The mail is passed through a slitting machine

• The mail is fully opened and prepared for scanning

• The batches are taken to the secure scanning room and scanned

• A validation check is undertaken on 10% of batches

• The mail is indexed with the document type and customer identifier (normally a
National Insurance Number)

• A second operative enters the customer identifier (if these don’t concur, the batch
passes for a further check)

• For valuable items the opening, preparation for scanning and scanning is done as
one stage

Decision Makers should use the scanning date as the date of receipt of an item of mail."

Yes, that is most interesting !

However, just to allay any concerns that this may cause to members who have to return documentation to The DWP/ATOS/Capita/Maximus by a deadline date, claimants do not have to make allowances for delays in the DWP's/AP's internal mailing systems when returning documents by a deadline date.

Your obligation to return such documentation is fulfilled once the documents are received at the return address provided, by close of business on the deadline date.

If the deadline date falls on a "non working" day when no one is available to sign for receipt of the document's envelope/package, it will be by close of business on the next available "working day" !!

Sending Documents to the DWP, ATOS, Capita or Maximus.

Hi,

It's been a long while since I last posted.

My MR had failed as to be expected so I am now at the Appeals stage. My eldest daughter and I have been working in the background gathering and preparing all the appeal papers and supporting evidence etc.

I sent the Appeal documentation to the address on the form on the 7th April and they received them on the 8th.

After contemplating very hard about whether I should go to the tribunal in person I decided to opt for a paper appeal because I am extremely exhausted after pursuing my pip claim since November 2015.

I have found the whole claiming process the last 5 months mentally gruelling to the point where I am not physically able to do much of anything else due to overwhelming depression, pain and fatigue. This is also why my daughter undertook the majority of the typing in preparation for my appeal.

Anyway, I received a letter this morning confirming my appeal has been received by the Glasgow tribunal centre.(pardon me? :huh: )

The letter says that if I would like to attend the hearing in person they can arrange for my appeal to be heard at the Kirkcaldy venue and this venue is the nearest centre to me(??) I really can't believe this :huh: :ohmy:

Well, there is no way in hell that I would be physically able to travel all the way up to Scotland from Surrey given my circumstances.

This is a 16 hour return journey from where I live! They have got to be joking. :angry:


Has anyone else had a hearing that is too far and difficult for them to travel to?

AS you have opted for a Paper hearing I would assume that your case has been allocated to the venue with the most availability. If you change your mind about attending then I would expect then to be able to move it to a more suitable venue, although it may delay a hearing.

You need to make sure you submission is with the Tribunal Service no later than three weeks after the date on the DWP submission that you should receive in the next couple of weeks, the hearing will be heard without notice at the earliest opportunity after that.

Yes I am in the process of preparing my submission although I did send some evidence with the actual appeal form. I am trying to send as much evidence as I can with all that I have and I can get.

Gordon,could you please tell me what the procedure is when all the information has been sent to the Tribunal?

Do the DWP analyse my submissions before they submit theirs? (as it says in the letter the DWP will prepare a written response to my appeal.) Or will they respond just going with what is in the HP's report?
